Short term individual bookings
To secure a room you may be required to pay a 10% deposit or a minimum of £10.00.
You may cancel a booking and we will refund your deposit in full if you notify us before 10.00 am on your scheduled date of arrival.
If you have a booking for more than 1 night you may cancel or shorten your booking after the scheduled date of arrival and we will refund you for any remaining nights. We will not pay a refund for any night for which notification is received after 10.00am.
Notification must be made directly with Summergrove Halls prior to 10.00 am of the day(s) you wish to cancel.
We will only make refunds to the payment card that you used to make the booking. We will normally credit refunds to your card within 10 days.

Long term individual bookings
To secure a room you may be required to pay a deposit of £70.00
You may cancel a booking and we will refund you in full if you give more than 48 hours’ notice of the date of your arrival.
If you cancel within 48 hours of the date of your arrival then 50% of your deposit will be refunded.
If you cancel within 24 hours of the date of your arrival then no refund will be made.
We will only make refunds to the payment card that you used to make the booking. We will normally credit refunds to your card within 10 days.

Group Bookings
To secure a group booking we may require a deposit up to 10% of the estimated total cost. A proforma invoice will be forwarded to the organiser and full payment of the outstanding balance will need to be made no later than 3 days before the expected arrival date.
If you cancel a confirmed Group Booking or significantly reduce the number of nights or the number of rooms required, we may not refund any money you have paid to us (including any deposit).
Subject to availability and payment, you may add any additional night(s) to any Group Booking (after the dates of the original Group Booking) at the rate for the room(s) at the time you make the amendment.

Conference Bookings
You may cancel a booking and we will make no charge if you give more than 48 hours’ notice.
If you cancel within 48 hours of the date/time of your arrival then 50% of the basic invoice charge will be made.
If you cancel within 24 hours of the date of your arrival then the full amount will be invoiced.
We will only make refunds to the payment card that you used to make the booking. We will normally credit refunds to your card within 10 days.

Payment
We accept the following methods of payment: credit cards: MasterCard and Visa; Debit cards – Visa/Delta and Visa/Electron, Bank Transfer.
All outstanding charges must be paid for in full on check-out.

Check-in/ Check-out Time
Unless otherwise stated on the booking confirmation, Guests may check-in at any time from 2.00 pm on the scheduled day of arrival. All rooms that have been secured by credit/debit card or prepaid at the time of booking will he held until 10.00pm on the scheduled day of arrival unless otherwise agreed directly with Summergrove Halls. Any non-secured reservation will be held until 6.00pm on the day of arrival at which time we will be entitled to re-let the room, unless the guest has notified us of a late arrival.
On the day of departure we kindly ask all guests to vacate their rooms by 11.00 am (unless a later departure is stated as part of your Booking). Late check-out after this time can be requested subject to availability and will be charged at an hourly rate at the discretion of Summergrove Halls.

If guests are travelling from outside the UK, Ireland or any country in the Commonwealth we are also obliged by law to require guests to provide the number and place of issue of your passport/identity card and details of their next destination. These records will be kept for at least 12 months and may be disclosed or made available for inspection by any police officer or as otherwise required by applicable law in connection with the prevention or investigation of crime.

Changes or Cancellation by Summergrove Halls
Very occasionally we may need to cancel your Booking. In such circumstances you will be given a full refund but we shall have no further liability to you arising out of such cancellation. We will, however, use reasonable endeavours to try and re-locate any confirmed Booking cancelled by us to an alternative location of a similar standard.

Damage
We reserve the right to charge for any damage incurred to your room or the premises during your stay (including without limitation specialist cleaning) or for any items that are missing when you leave.

Guest Behaviour
Guests are requested to conduct themselves appropriately at all times and to respect the premises, employees and other guests. We reserve the right to refuse accommodation or services or remove you and members of your party if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

No Smoking
Guests are not permitted to smoke in rooms or public areas. Smoking is permitted in the designated smoking areas which are clearly signposted.

HOTEL PROPRIETORS ACT 1956

Loss of or Damage to Guests’ Property:

Under the Hotel Proprietors Act 1956, a hotel proprietor may in certain circumstances be liable to make good any loss of or damage to a guest’s property even though it was not due to any fault of the proprietor or staff of the hotel.

This liability however—

(a) extends only to the property of guests who have engaged sleeping accommodation at the hotel;

(b) is limited to £50 for any one article and a total of £100 in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;

(c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.

This notice does not constitute an admission either that the Act applies to this hotel or that liability there under attaches to the proprietor of this hotel in any particular case.

Summergrove Halls Ltd is committed to preserving the privacy of all visitors to our website at www.summergrovehalls.co.uk and on our reservations system and complying with the GDPR.

By booking accommodation, conferencing or other services you consent to the collection, use and transfer of your information under the terms of this policy.

Information that we collect from you:

When you visit, register or order products or services you may be asked to provide certain information about yourself including your name, address, contact details and credit or debit card information.

We may also collect information about your usage of our website as well as information about you from messages you post to the website, social media and e-mails or letters you send to us.

We collect information on the basis of Legitimate Interest as we believe this is the most appropriate basis. We have conducted a legitimate interest assessment (LIA) and recorded our findings.

We only use data in ways that you would reasonable expect.

Use of your Information:

Your information will enable us to provide you with access to all parts of our website and to supply the goods or services you have requested. It will also enable us to bill you and to contact you where necessary concerning your orders. We will also use and analyse the information we collect so that we can administer, support, improve and develop our business.

In particular, we may use your information to contact you for your views on our services and to notify you occasionally about important changes or developments at Summergrove. Further, where you have consented, we might also use your information to let you know by email about other products and services which we offer which may be of interest to you. If you change your mind about being contacted in the future, please let us know.

Disclosure of your Information:

The information you provide to us may be accessed by or given to third parties some of whom may be located outside the European Economic Area who act for us for the purposes set out in this policy or for other purposes approved by you. Those parties process information, fulfil and deliver orders, process credit card payments and provide support services on our behalf. We may also pass aggregate information on the usage of our website to third parties but this will not include information that can be used to identify you.

Countries outside the European Economic Area do not always have strong data protection laws. However, we will always take steps to ensure that your information is used by third parties in accordance with this policy.

Unless required or permitted to do so by law, we will not otherwise share, sell or distribute any of the information you provide to us without your consent.

Security and Data Retention:

We employ security measures to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage. We will retain your information for a reasonable period or as long as the law requires.

Use of cookies on the Summergrove Halls website

We do use cookies on our website to enhance your user experience with us as they are extremely useful in speeding up the web journey for you and can also allow a website to recognise a user’s device.

Changes to our Privacy Policy:

Any changes to our privacy policy in the future will be posted to the website and, where appropriate, through e-mail notification.
